Document Revision

Each document title consists of one or more revisions. The title information is common for all its revisions.

To each revision, you can connect one EDM file or an approval process.You can also connect a number of business objects.

There are two ways of viewing the information on document revisions. You can choose the Document Revisions page in the navigator to access an overview page displaying all document revisions, or you can query a subset of document revisions. It is possible to maintain information in this overview page, but status changes can only be accomplished in the Document Revision page.

In the Document Revision/ General tab, you can maintain revision information and manage status changes.

You can delete obsolete document revisions in both Document Revision and Document Revisions. You can also delete document revisions not having object references and not used in any structure. All corresponding routings, and EDM file references are deleted as well. When the last revision is deleted, the document title is automatically removed.
Use File References tab to view the files attached to a document revision. Use the Delete File option to delete the file reference for each file.

Workflow

Creating: You can create a new document revision with a new title or a new revision of an existing document revision

Modifying: You can modify some fields. Status changes can only be accomplished in this page by choosing the actual status change from the menu.

Removing: You can delete obsolete document revisions. The document revision should not have object references. The physical EDM file must be deleted, and it must be marked as Obsolete before deletion is allowed. When deleting a document revision, all connections such asĀ  Document Revision Sheet and Document Approval Routing will be deleted as well. When deleting the last revision, the document title will automatically be removed.

Document Status

The document revision status can be one of the following values: Preliminary, Approval In Progress, Approved, Released or Obsolete;. When a document is created, the status will automatically be set to Preliminary.
