Copy Project/Sub Project

Explanation

It is possible to copy a project or a sub project to a new project or sub project depending on the requirement.

A date for the earliest activity to start should be specified.  All date information in the copied project is calculated from this value. For example, if the previous early start was the 1st of September, 2019 and apply the 1st of September, 2020 as a new date, all activities will be moved forward by one year. A date offset will be calculated based on the start date of the earliest activity that is specified and used when creating all new dates. The new early start and finish dates for an activity can be calculated according to the duration of the previous project or the number of work days for the activity.

Copying Sub Projects and Structures

A subproject structure can be renamed by entering the initial characters of a subproject ID along with the new name. An example of this is:

In this example, the source sub project name AB is renamed to SB in the destination sub project.

It is not allowed to copy a subproject directly from source project to destination project if destination project already have a subproject with the same name. The above prefix functionality is useful in these kind of situations. In addition, it is also a requirement that the subprojects (children) below the subproject (parent) all have the same prefix. If they do not, it will not be able to copy the subproject. Therefore, it is advisable that prefix all subprojects, at least when there is a requirement of reusing the subprojects in new projects.

The same problem can occur when copying the underlying levels of a project. In order to be able to copy it back to the same project, the entire subproject structure should be renamed using prefix. During the process, the subprojects should be renamed by setting a new prefix for all copied subprojects, since it is not permitted to have two subprojects with the same name.

If a parent sub project exist the sub project manager will be the same as the parent sub project. If not, the project manager is set as the sub project manager.

 If Copy Based On the Early Start/ Work Days option is selected, the activities will be copied based on the early start date and the work days of the source activities. If the Early Start/ Early Finish is selected, the dates of the copied activities will be based on the dates on the source activities.

If this slider switch and the corresponding slider switch (where applicable) is on, all the documents connected to the project, sub project, activity, etc., will be copied.

Manual Connections Settings Project Level If this slider switch is on, settings in Project/Manual Connections tab in the source project will be copied. Slider switch will be set to clear by default. -
Constraints Activity Level If this slider switch is on, all the constraints from the source activities will be copied. -
Dependencies Activity Level If this slider switch is on, all the dependencies connected to the source project that do not exist in the destination project will be copied, irrespective of project access. -
 Activity Class and Value Activity Level If this slider switch is on, all activity classes defined in a child activity will always be copied if it is valid globally and is not blocked for use. If the validity of the activity class is set to project level it will only be copied within the project. -
Progress Templates Activity Level If this slider switch is on, all the progress templates defined in the source activities will be copied. -
Responsible Person Activity Level

  • Sub projects:
    If the Responsible Person slider switch is on and a sub project manager does not have a valid user connected or has not been specified, the project manager will be set as the sub project manager. If the slider switch is off, the project manager will be the sub project manager and the financially responsible person will not be defined.

  • Activities:
    If the Responsible Person slider switch is on and the source activity responsible person has not been specified or he/she does not have access to the destination project, the destination sub project responsible person will be set as the responsible person for the destination activity. The destination financially responsible person will be the same as the source. If not, the source sub project financially responsible person will be set as the responsible person for the activity.

    If the slider switch is off, the source sub project responsible person and the financially responsible person will be the same for the destination activity as well.

  • Tasks:
    If there is no responsible person for the source task or the he/she does not have access to the destination project and the Responsible Person slider switch as well as the Tasks slider switch is on, the destination activity responsible person is set as the responsible person for the task.

Tasks Activity Level If this slider switch is on, all the tasks connected to all the activities in the source project will be copied. -
Document Packages Activity Level If this slider switch is on, all the document packages connected to the activities in the source project will be copied. -

Following options are visible only when copying projects belonging to the same company.

If this slider switch is on, all the project quotation lists that are connected to the source project that do not have a misc. demand sequence will be copied.

Cost/Revenue Breakdown Structure Project Level If this slider switch is on, the ID of the cost/revenue breakdown structure will be copied to the destination project. -
Resource Criteria Project Level

If this slider switch is on, all the resource criteria on the source project that do not exist in the destination project will be copied, irrespective of project access.

Pre-Posting Information Project Level If this slider switch is on:
  • information in the Project Setup Parameters/Pre Postings tab, related to all sub projects (denoted by the wildcard symbol *), will be replaced by the source all sub project (*) information record.
  • existing information in the target project's Project Setup Parameters/Pre Postings tab for specific sub projects will not be removed.
  • if sub projects have been renamed, the information in the source Project Setup Parameters/Pre Postings tab will be copied along with the relevant renamed sub project and the correct destination project ID.
 Information in the source project's Project Setup Parameters/Pre Postings tab, related to all sub projects (denoted by the wildcard symbol *), will not be copied.

If this slider switch is on:

  • information in the source project's Project Setup Parameters/Pre Postings tab related to selected sub project will be copied.
  • existing information in the target project's Project Setup Parameters/Pre Postings tab will not be removed.
  • if sub projects have been renamed, the information in the source Project Setup Parameters/Pre Postings tab will be copied along with the relevant renamed sub project and the correct destination project ID.
Project Currency Settings for Budgeting and Forecasting Project Level If this slider switch is on, the source project currency code and the project currency type will be copied. -
Multi-Currency Settings for Budgeting and Forecasting Project Level

If this slider switch and the Budget in Multi-Currency of the source project is on, multi-currency will be enabled for the destination project as well. It will also copy the budget currency type from the source project.

Pricing Information Project Level

If this slider switch is on and if the destination project has no data or the values have not been used, information in the source project Project Setup Parameters/Pricing/ Pricing Information and Multi-Company Revenue Reporting Method will be copied to the destination project.

If the existing values in the destination project have been used, the information in the source project Pricing Information will replace the existing destination values, while the Multi-Company Revenue Reporting Method will not be replaced.

Resources Activity Level

If this slider switch is on, all resources connected to the source activity will be copied provided that the source project and the destination project share the same resource criteria.
If the source activity resource that is being copied has planned quantity, the spread type is set as PROFILE on the destination activity resource. It will be set to LINEAR if no default as been setup. Once the activity resource is copied the spreading is generated for it according to the copied parameters.

Report Codes Activity Level If this slider switch is on, all report codes with the following conditions will be copied to the destination activity:
 
  1. Belong to the destination company.
  2. The activity report code valid to date is greater than the system date.
  3. The activity report code valid date belongs to the valid period of the same report code in basic data (defined in IFS/Human Resources)

Miscellaneous Demand Activity Level If this slider switch is on, all part and no part misc. demands in the source project and default site will be copied.  User should have access to the activities to which these misc. demands are connected.

If the Connected Documents is on, any documents connected to the misc. demands will also be copied.
If Project Quotation List is on, any PQL connected to the source misc. demands will also be copied.		 If this slider switch is on, all part and no part misc. demands in the source sub project and site will be copied. User should have access to the activities to which these misc. demands are connected.

If the Connected Documents is on, any documents connected to the misc. demands will also be copied.
If Project Quotation List is on, any PQL connected to the source misc. demands will also be copied.
