Create Serial
Explanation
This activity is used to create a serial. Serials are uniquely identified
and followed up over time. If you, for the time being, do not have all the information
needed to fulfill the registration, you can start and divide the procedure into
several steps to postpone the completion. When you enter a serial number you
also have to enter the values that will update the Part Serial Catalog with
information on the new serial.
When a new serial is created, the next level of the serial structure will
be created automatically with empty structure positions in the Manage
Serial Structure/Consist Of tab. Empty structure positions, also called
Not Installed structure positions, refer to the structure positions where expected
serials or parts are missing from the serial structure. You can identify which
structure positions are empty by the value of the Item Installed field.
If this field is enabled, the structure position contains an expected part or
serial. If not, the structure position is an empty structure position.
The purpose of creating empty structure positions is to provide a means
by which you can quickly view where components are missing when building a serial
structure.
If you choose to import a template structure to a serial structure for which
serial numbers have not yet been defined. The structure of all parts on which
serial number tracking is enabled as well as their sub-structures will be imported.
When importing template structure entries for serialized parts with a quantity
higher than 1, serial structure entries equivalent to the quantity defined on
the template structure will be created. For such occurrences, please note that
each structure entry will have the same structure position. If the template
structure which is to be imported contains non serialized parts, only the non
serialized parts on the first level will be imported.
You can also choose to generate serial numbers for the serials in the structure
once the template structure is imported. It will automatically generate a sequence
of serial numbers starting with the defined serial base number entered on each
part number. The serial generation will start on the selected serial and then
work down to all serials on the lower levels. System generated serial numbers
may be prefixed. For more information on the serial base number and serial number

All the access groups assigned to the serial can be viewed in the Manage
Serial Structure/Access tab. If the serial is access controlled, only
the users assigned to the access groups that have the Has Access option
enabled, can view and update information on the serial. When a new serial is
created, the following will occur in relation to the Access Control feature:
- The serial will receive the access groups assigned to the template structure
to which the serial belongs.
- If the new serial is defined within a structure, the serial will inherit
the serial access groups from the topmost serial of the structure. If the
serial is not installed in a structure, it will receive the access defined
for the part number and revision of the serial.
- If the parent of the new serial does not have a serial number, the serial
will inherit the access from the nearest parent that has a serial number,
from the structure. If the parent parts in the structure do not have a serial
number, the serial will inherit the access defined for the part number and
the revision of the serial.
When a new serial structure is created, the operational status is initially
set to Planned For Operation and the operational condition to Non
Operational. If the serials are not new (but new within the system), the
serial's history data must be entered in the
Serial Initialization
page. To do this, the serials must be in the Out Of Operation status.
Before the structure can be set In Operation (or Out Of Operation),
valid active maintenance programs must have been connected to the serials in
the structure or minimally to the top part in the structure. Through status
handling you can choose to set structure In Operation or set
structure Out Of Operation.
To create a new serial, open the Manage Serial Structure page
and click New or use the New Serial
assistant. You can enter below details in the assistant.
Note: You can also create a serial from the
Serial Structures page as well.
Step 1 - Serial Information
- You can enter the desired part number and revision, a unique serial
number and a unique vehicle identification number. Enter a manufacturer
and a manufacturer's part number. If the manufactured date of the serial
is known, enter this date in the Manufactured Date field.
- You can enter an owner organization and select an ownership type for
the new serial. If a maintenance program is available for the serial, enter
the maintenance program and the revision. You can enter the maintenance
group, primary workshop for the serial and the current location of the serial.
Step 2 - Structures and Status Handling
- Enable the Import Template Structure for Serial option
if you want to import a template structure for the serial. Enter the template
part number, revision and structure position of the template from which
details are to be imported.
- Enable the Generate serial numbers option if you want
to generate serial numbers for the imported structure. If you want, you
can change the ownership, owner and manufactured date for the generated
serials.
- Enable the Generate only for minimum configuration option
if you want the generation to occur only for serial numbers belonging to
the structures that are a part of the minimum configuration. The manufactured
date will be set for the LLP (life limited part) serials that are generated.
To set the date for all generated serials, you need to enable the Manufactured
date on all serials (or only LLPs) option.
- Enable the option Set Structure in operation if you
want to set the operational status for all serials in the structure to
In Operation. This will set the operational condition for all
serials in the serial structure to Operational as well.
- If you want the operational status of the structure to be Out Of
Operation, enable the option Set structure out of operation.
- Enable the Set structure operational option to set
the operational condition for all serials in the serial structure to
Operational.
- Enable the Set maintenance program for all serials in structure without
maintenance program option if you want to connect the maintenance program
defined here to all serials in the structure.
- You need to enter a structure change date for the transaction in the
replacement history.
Note: When a serial is installed
in a structure, an entry will be created in the replacement history that
indicates the first time the serial was installed into a structure. Operational
logging or later structure changes cannot have a date that is earlier than
this first structure change date. If needed it is possible to manually set
values and dates in Serial Initialization page
after completing this function.
To update the access groups for the newly created serial, open the
Manage Serial Structure
page and search for the serial number of the serial you created. Click the
Access tab. All the access groups inherited
by the selected serial will appear on this tab. The Has Access field
will be enabled for the access groups that currently have access to the serial.
To either enable or disable the Has Access option, the following options
must be used,
- Revoke Access Group For Serial - Select this option if you want
to disable the Has Access option, and thereby deny access to the
new serial by the selected access group.
- Grant Access Group for Serial - Select this option if you want
to enable the Has Access option, and thereby grant access to the
new serial by the selected access group.
Note: The data on this tab can only be updated for the serials that
are disconnected from a structure, and for the topmost serial of a structure
Prerequisites
- A serial template structure must exist for the utilization of the part.
- Part number must be a valid engineering part revision and coupled to
a manufacturer.
- The part number must be associated to a maintenance group and a repair
workshop.
- The access groups must have been extended to the current serial.
System Effects
- The serial is created and made maintenance aware for fleet utilization.
- The next level of the serial structure (based on the template structure)
is created automatically with empty structure positions.
- You can identify holes in the structure, i.e., where serials or parts
are missing from the structure.
- All access rights defined for the current serial will be updated on
the Manage Serial Structure/Access tab.
- Serials that do not have defined access groups can be viewed by all
the users.
- The access rights for the serial can be updated by using the right mouse
button options on the Manage Serial Structure/Access tab.
