Work Assignments

Work assignments are assigned to the resources that are allocated to perform
the work on a work task. The resource assigned can either be a person resource
or a tool and equipment resource.
The work assignment needs to have a resource assigned to it. This resource
is either set by a manual allocation process or from a scheduling engine. Additionally
the work assignment needs to have an allocated start and an allocated finish
defined which is also set by the allocation-process where the work assignments
are created. In addition to the allocation dates the number of hours that the
resource is assigned to the work are displayed in the field Allocated hours.
Work assignments can be sent to a mobile device if IFS/Mobile Work Order
is used. By selecting Transfer To Mobile the work assignment will be
sent out to the mobile device. If the work assignment is sent to a mobile device
the Sent field will have a date and time-stamped that corresponds to
the time when the work assignment was sent to the mobile device. If the work
assignment is downloaded to a mobile device the field Downloaded will
show the information of the date and time when the work assignment was downloaded.
The statuses on the work assignment are:
- Assigned status is set when the work assignment is created and
the pre-requisites are that a resource, allocated start, allocated finish
and allocated hours are defined.
- Accepted status is to be set when the assigned resource has accepted
the work assignment.
- OnRoute status is to be set by the assigned person when they
start to travel to the location of the work. This status will set the Assignment
Start date and time on the work assignment.
- Waiting at Location status is to be set by the assigned person
if they have arrived at the location of the work but for various reasons
have not started the work yet.
- Work Started status is to be set when the assigned resource started
to work on the assignment. Changing the status to Work Started will
set the Work Start date and time on the work assignment.
- Pending Completion status is to be set when there might be additional
work to be done on the location. When changing the status to Pending
completion the Work Finish date will be set. However the Assignment
Finish date is not set in Pending Completion status due to that
the assigned resource still is at the location and the full assignment is
not completed.
- Completed Status is to be set when the assigned work is completed.
This will set the Assignment Finish to the current date and time
for the completion.
- Incomplete status is set when the work is not executed.
- Cancelled status is to be set when the work assignment is cancelled
and the work will not be performed.
There are four different dates on the work assignment to track the execution
of the work performed. Assignment Start, Work Start, Work Finish and Assignment
Finish:
- When the work assignment is promoted to status OnRoute the
Assignment Start date is set to the current date and time. Assignment
Start means then that the resource has started the assignment by starting
to travel to the location of the work. If the work assignment is set directly
to Work Started without going through the OnRoute status the Assignment
Start will get the same date and time as the Work Start.
- When the work assignment is promoted to Work Started the Work
Start date is set to the current date and time. The Work Start is defined
by that the assigned resource has started the work or that the tool/equipment
has been started to be used for the work. The Work Start does then
not include the travel time to the location where the work is to be performed.
The work start date and time will be seen as the actual start of the allocation.
When the work assignment is started the allocations will be updated accordingly
to the Work Start. This means that in Allocate
Resource and Resource Monitoring Gantt
pages the allocations will be shown accordingly to the Work Start
date to track the actual execution of the work assignment. If using Mobile
Workforce Management the Work Start date and time on the work assignment
will be sent to the Dynamic Scheduling Engine as the start date of the Activity
in the schedule.
- When the work assignment is promoted to Pending Completion the
Work Finish date is set to the current date and time. The Work
Finish date relates to that the work that needs to be performed for
this assignment is completed. However the assigned resource could still
be at the location of the assignment and is therefore not yet available
for the next coming assignment.
- When the work assignment is promoted to Completed status the
Assignment Finish date is set to the current date and time. From
the Assignment Finish date the resource is seen as available to take
on a next coming work assignment. When the work assignment is Completed
the end of the allocation will be updated accordingly to the Assignment
Finish date. This means that in Allocate Resource
and Resource Monitoring Gantt pages the allocations
will be shown accordingly to the Assignment Finish date to track
the actual execution of the work assignment. If using Mobile Workforce Management
the Assignment Finish date and time on the work assignment will be
sent to the Dynamic Scheduling Engine as the end date of the Activity in
the schedule.
For each work task there will be one work assignment that is set as the
Task Leader work assignment. The first work assignment that is created
for the work task will be set as the Task Leader by default. If there
are multiple work assignments connected to one work task there can be only one
task leader work assignment. In the case of multiple work assignments the task
leader flag can be changed to another work assignment by selecting Set as Task
Leader. However, if the task leader work assignment is set to Cancelled, the
next work assignment will automatically receive the task leader flag.
When there is a visit chain, all the work assignments will receive the Task
Leader flag.
When the work assignment is set to Cancelled status or Incomplete the cause
of the cancellation or the incompletion needs to be stated. The information
about the cancellation and incompletion is visible on each work assignment in
the Cancel Cause and Incomplete Cause fields together with its
description.
