Check Out Document
Explanation
Use this activity to check out document files connected to one or
more document revisions without opening them or starting any
macro. It can be useful for sending a number of documents to
someone for editing, or for working with them offline. The
documents' file status will be set to Checked Out so that
they are reserved to you. After you are done you can check the
documents back in or undo the check out.
Prerequisites
- A document revision must exist.
- You must have edit access to the document revision.
-
The document revision must have a status of Preliminary
or Approval In Progress. If the document revision has a
status of Approval In Progress, its Update Allowed
During Approval option must be selected.
System Effects
-
Document files that are checked into the document revision
(including "extra" files defined for the CHECKOUT process in
basic data under Document Class Process Action, and
excluding view copies) are copied to your local check out path.
-
The files will be named using the standard document title and
name.
-
The document revision's file status is set to Checked Out
and all other users are prevented from editing the document.
-
Opposed to when using the Edit Document command, the
document will not be open and no macros will be run.
-
Once you have finished with the document you can check in the
document file. You can also undo the document check out at any
time, but changes to the document file will not be saved.
