Release Maintenance Order
Explanation
This activity is used to release a maintenance order. This is done when the
planned maintenance order is ready for its maintenance visit. When a maintenance
order is released, the work can be started.
When a maintenance order is in the Released status it is possible
to:
- Specify task cards for events without task cards.
- Add additional task cards to events.
- Cancel existing task cards on events.
- Add additional events to the maintenance order.
To release a maintenance order:
- Click Status and then click Release to open the
Release Maintenance
Order dialog. In the Release Date field, the
system date is displayed automatically. You can change the default date
if needed, provided that the new date is not in the future.
- Enable the Update Sign Off Requirements option if you want the
sign off requirements on the maintenance order to be updated automatically.
Enable the Snapshot of Maintenance Order option if you want a snapshot
of the maintenance order to be taken upon releasing.
- Enable the Include Serial Structure in Service
Contract Line Search option if you want to traverse through the
serial structure when finding valid vehicle service lines for the work orders/work
tasks that will be generated when the maintenance order and events are released.
This option is only applicable when a service contract is connected to the
maintenance order. The option is enabled by default. The default value can
be changed. Refer the system effects below for more information on the functionality
related to this option.
- In the Snapshot Description field, a default description appears
automatically. If needed, you can enter additional information there. A
value in this field is required to be entered if the Snapshot of Maintenance
Order option is enabled.
Prerequisites
- A maintenance order with connected events must exist. The maintenance
order and connected events must be in the Under Preparation status
if the distribution type is Work Order or Execution Logic Structure.
- If the distribution type of the maintenance order is Simplified Work
Order, the maintenance order you want to release can be in the Initial
Scope Definition status.
- If a heavy maintenance contract is connected to
the maintenance order and assigned maintenance events, contract line details
must be defined on the maintenance event level.
The following prerequisites are only valid if the maintenance order or the
events on the maintenance order are connected to a service quotation:
- The service quotation must be in the Released status, at least.
- The service quotation must not be in the prospect mode, i.e., the value
in the Customer Type field should not be set to Prospect.
System Effects
- The maintenance order and all connected events will be released and
work orders will be created with connected work tasks, resources, material
etc. If the distribution type is Execution Logic Structure, a work
order structure will be created based on the connected execution logic structure
(ELS) and presented in the same logical order as in the structure and gantt
chart on the maintenance order.
- When transferring material demands, the ownership
and owner information defined on the maintenance order material demand line
will be transferred to the corresponding work task, i.e., part provisioning
rules defined on the maintenance order service contract
or heavy maintenance contract will not be re-applied during the transfer.
- If zones and access panels have been defined for the task card with
connected subtasks that was transferred to IFS/Work Order Management, the
zones and access panels defined on the task card will be copied to each
connected subtask when they are created as work tasks.
- If resource activities have been generated for the resource demand on
the maintenance order, these activities will be created as resource activities
for the work order. The activity origin of the resource activities will
be changed from Maint Order Task Card to Task Management Line.
The following system effects are only applicable if the
maintenance order is connected to a service contract:
- The service contract on the maintenance order
is transferred to the generated work orders/work tasks. Vehicle service
lines, defined on the maintenance order contract, will be assigned automatically
to the work orders/work tasks at this time, based on following criteria.
If a valid vehicle service line does not exist, the contract will not be
applied to the work orders/work tasks:
- The work type defined for the maintenance event
should be the same as the work type on the vehicle service line.
- The part on the vehicle service line must
be the same as (listed below based on given priority),
- The part on the maintenance event.
- The template part above in the structure
of the maintenance event part and the Use On Structure
option must be enabled for the line.
- The top part on the maintenance order.
Note: To loop through the structure and find
template information, the Include Serial Structure in Service
Contract Line Search option should be enabled when releasing
the maintenance order. The setting of this option will apply to
all maintenance events included on the maintenance order, including
events or task cards added after releasing the maintenance order.
This option can only be changed in the Release Maintenance
Order dialog. If this option is disabled, and there
are no vehicle service lines for the maintenance event part, vehicle
service lines for the top part will be retrieved. If this option
is enabled, and there are no vehicle service lines for the maintenance
event part, the system will search for vehicle service lines for
the parts above in the structure of the maintenance event part (i.e.,
traverse up the structure to find the template information), and
if this too does not exist the system finally searches for the vehicle
service lines for the top part on the maintenance order.
- If there is more than one vehicle service line fulfilling
the criteria, the line with the latest Valid From Date
will be applied on the work order/work task.
- For maintenance orders with the Work Order
distribution type, the contract and contract line will be applied
to the work orders (generated for the maintenance events) and work tasks.
For maintenance orders with the Execution Logic Structure
distribution type, the contract and contract line will be applied to the
work tasks only.
The following system effects are only applicable if the
maintenance order is connected to a heavy maintenance contract:
- The heavy maintenance contract on the maintenance
order is transferred to the generated work orders/work tasks. Contract groups
and contract lines, connected to the included maintenance events will be
assigned automatically to the generated work orders/work tasks. If a valid
heavy maintenance contract line does not exist for a maintenance event,
the contract will not be applied to the generated work orders/work tasks.
The following system effects are only applicable if the maintenance order
is connected to a service quotation:
- The customer identity is set on all work orders created for the maintenance
order. If the maintenance order has the Execution Logic Structure
distribution type, the customer ID is taken from the maintenance order.
For all other distribution types, the customer ID is taken from the service
quotation to which the event is connected.
- The quotation currency is set on all work orders created for the maintenance
order. The quotation currency governs the currency in which the revenue
lines (quoted work) will be sent to the customer.
- For each work order that is created, the customer order type is set
to SEO (Service Order).
- For each work order that is created, the coordinator of the work order
is set to the coordinator of the service quotation.
Note: The service contract or heavy maintenance contract
will not be applied to the corresponding work orders and work tasks if,
- Both contract and service quotation are connected
to the maintenance order or
- A contract is connected to the maintenance
order and a service quotation is connected to an included maintenance event.
This is because in both instances the service quotation
is prioritized instead of the service contract or the heavy maintenance contract.
