Pickup Task
What is a Pickup Task?
The Pickup Task in Request Management is used to execute the pickup of material
required for service work, prior to arriving at the customer’s location. It
displays the material that needs to be picked up from a supplier or from a warehouse,
the Pickup Date and the Assignee responsible for performing the task.
Pickup Task can be used to receive Inventory Parts as well as Non-Inventory
Purchase Parts and No Part lines from Purchase Order.
Explanation
Pickup Task creation
- For material planned on the Work Task, if the supply code is set to
Purchase Order or Shipment Order together with the delivery method “Pick
Up”,
these material lines are eligible for pick-up. Material to be purchased from
a supplier can be picked up from the supplier’s location, while material
via a shipment can be obtained from the site’s warehouse.
- Pickup Tasks are created when releasing material lines containing such
a set up. This happens when the Work Task-Service is Released.
- New Pickup Tasks will be created in released state.
- For a single work task, many Pickup Tasks can be created based on Pickup
location and logistic site.
Dependency to Work Task
- The Pickup Task is automatically set as a predecessor of the Work Task. The main Work
Task is dependent on the Pickup Task.
- If the " Ignore Dependencies " flag is set to TRUE on the
main Work Task and the Pickup Task is connected to the main Work Task, both
can be transferred to the mobile.
- It is not possible to change both the Set "Dependency" flag
and the “Ignore Dependencies” flag.
- The dependencies of the Work Task will be available on the "Work
Task Dependencies" page. The Pickup Tasks from the selected Work Task
and other Work Tasks present in the scope are shown on this page.
Grouping of Material Lines
If there is a Work Task with a “New” state that has multiple material lines
and the Delivery Method is set to “Pick Up”, the same supplier if the Supply
code is “Purchase Order” and the same warehouse if the Supply code is “Shipment
Order”,
- One Pickup Task will be created with the multiple Pickup lines when
releasing the Work Task. The Pickup Task and all Pickup lines will be
consolidated to one Purchase Requisition or one Shipment Order.
- When adding new material lines for the Released Work Task, separate Pickup Tasks
will be created for each material line.
Pickup Address
- The Pickup Address which states the address from which the material
needs to be picked up.
- For material purchased from a supplier (Supply code: Purchase Order),
the Pickup Address will be fetched from suppliers default visit address.
- For material obtained via a shipment (Supply code: Shipment Order),
the Pickup Address will be fetched from the Main Warehouse set on the Site/Maintenance
page, for the logistic site of the material planned on the work task.
Pickup Date
The “Pickup Date” displays the latest value of the “Promised
Receipt Date” of the Pickup lines.
Pickup Duration
The "Pickup Duration" displays the time for picking up the required
material from the logistic site. Pickup duration is fetched from the default
duration set on the Site/Maintenance page, for the logistic site of the material.
Duration can be changed if needed and is in Minutes.
Pickup Lines
The "Pickup Lines" displays the list of material lines from the
work task that needs to be picked up from this particular pickup task. Changes
done to material lines in work task (e.g. update to quantity required) will be
seen on pickup lines.
Resource Demand
- The “Resource Demand” displays the first demand line of the main Work
Task, if Resources exist on the main Work Task when creating the Pickup Task.
- If a Resource demand line is planned on the main Work Task after the
Pickup Task has been created, and no resource demand lines
exist on the Pickup Task, the first demand line will be fetched to the pickup
task.
- When copying the Resource demand to the Pickup Task, quantity is
always be set to one.
Assignee
The "Assignee" displays the Work Assignment that
is created through "Assign work" on the Pickup Task. The Allocations
on Resource Demand and Direct Allocation can be used to assign a work. Only
one work assignment is used to execute the Pickup Task.
PSO Scheduling Info
In this tab, we are visualizing Scheduling Type, Availability, Location,
Preferences & Allocation. Scheduling type is a non-editable field and the
data visualized here is based on basic data in Task.
Users can specify Availability, Preference & Location according to task
requirements and those parameters are synced to the Scheduling Engine via Change &
Load operations. Once the activity/activities for a work task are scheduled
by the Scheduling Engine, an allocation plan with the current
scheduling status, resource assignment, and activity start and finish dates
are returned to IFS Cloud. This information is visualized under Allocation.
Execute Pickup Task
This explains the execution process of Pickup task in mobile client. Pickup
task is synchronized to mobile with its' source task where respective pickup
materials have been planned.
Prerequisites for Pickup flow (Shipment)
- Default location should have been defined for location type "Picking"
for user connected default remote warehouse in Warehouse Navigator
> Remote Warehouse.
- Automatic Receipt flag should have been set as true for Shipment Type
which is set for user logistic site.
- User default warehouse should be a remote warehouse.
Execute Pickup Task
Ready To Picked Up flag
- Pick up via a Shipment Order: Flag is set as true when Shipment header
is set to Complete
- Pick up via a Purchase Order: Flag is set as true when Pick-Up Date
is earlier than or equal to device time
Pickup assignment has following statuses and system effects upon changing
the statuses.
- Cancel: Pickup assignment is set to cancelled. Source task can be processed
ignoring the Pickup materials demands.
- Accept: Set Pickup assignment to accepted.
- On Route: Technician is supposed to start travel when Ready To Be Picked
Up flag is set true. If the task is not ready for pick up when the
status is changed, the system will display a warning, but the user is
still allowed to start travel the Pickup assignment.
- Work Start: Pickup task is set to started. If pick up is going
from a warehouse (shipment), the Receiver ID on the shipment is updated
with the users
default remote warehouse and the part receipt location is set to the default location.
If pick up is from a supplier (Purchase), the user default remote
warehouse is set as the Destination Warehouse on the Purchase Order line.
- Incomplete: Pickup assignment is set to Incomplete. Source Task can
still be processed.
- Complete: This will complete the Pickup assignment and Pickup task is
set to Picked Up. The shipment will be delivered. Shipment and Shipment
Order are closed. Parts which have been shipped are updated in Inventory
Stock (backend) and in My Stock (mobile) as reservations.
Receive materials to user warehouse which have been picked up from supplier.
- Purchase receipt lines linked to Purchase Orders in status released
or confirmed are
synchronized (batch) to mobile.
- Receipt of materials to a location of user default remote warehouse
is done manually.
Receive materials to user warehouse which have been picked up from a warehouse
(shipment)
- Completed shipment lines are synchronized (batch) to mobile device.
- Receipt of materials to user warehouse is automatically handled upon
completion of Pickup assignment.
The Pickup Task execution flow is available offline in the mobile client.
