Resource Schedules, Shifts and Capacity

Resource Schedules are generated for individual resources (persons, tool/equipment, machines and crews) based on the resource's defined base schedule (HR schedule or work time calendar) or shift pattern templates. The base schedule is indicated on the resource and can be defined using the Resource Details page or Service Resource Details page. In addition to the base schedule, it is possible to connect shift pattern templates for periods when the resources need to work differently from their base schedule. Note that a base schedule is required even if a shift pattern template is used.

The resource schedule comprises individual resource shifts that can be edited without affecting the resource's base schedule. This gives resource managers and planners high flexibility to handle current and future work situations by adjusting the resource shifts as needed. Resource shifts make up the capacity for the resource and if a shift is edited, the corresponding resource capacity record is updated to reflect the change in capacity.

Resource schedules are generated either as a re-occurring scheduled task or manually by using the Generate Resource Schedules and Capacity dialog.

Resource Capacity

Resource capacity for an individual resource (person, tool/equipment, machine) is defined by the resource schedule, while the capacity for a resource group depends on how capacity is defined to be calculated for that resource group. The capacity can be based on the capacity of each connected individual resource to that group or defined as a fixed quantity on the group level. Resource capacity planning is the process of determining the number of working hours a resource or a resource group can contribute at a given time (or time period). The capacity information is used to plan and as information to be able to meet current and future work demands.

Resource Schedule

Recourse schedules are generated using the resource's base schedule (HR Schedule or Work Time Calendar) and optionally connected shift pattern templates. The generation can be initiated manually using the Generate Resource Schedules and Capacity dialog or by setting up a scheduled task. The schedule consists of individual resource shifts that can be updated without changing the resource's base schedule or shift pattern template. The resource schedule is the basis for the resource's capacity, and changes to the schedule or shifts directly correspond to a change of capacity.

Resource Shift

The resource working shift, including breaks. When the resource schedule is generated, each resource shift in the schedule can be edited, and new shifts can be added. It is possible to update resource shifts by changing the start or end times or any existing breaks. If changes are made, a shift deviation is created.

Resource On Call Shift

On Call type of shifts can be generated using a shift pattern template where a shift type of type On Call has been defined. It is also possible to manually enter or update existing on call shifts into the resource schedule. On call shifts do not have breaks. If changes are made, a shift deviation is created.

Resource Base Schedule

The resource base schedule is the HR schedule or Work Time Calendar connected to the resource. It is mandatory to define a base schedule to generate resource schedules, even if a Shift Pattern Template is used. The base schedule data can be viewed in the Resource Availability/Base Schedule page.

Resource Base Shift

The base shift is the base schedule (HR schedule or work time calendar) or shift pattern template used when generating the resource shifts that make up the resource schedule. The base shift data can be viewed in Resource Availability/Base Shift page.

Resource Shift Deviations

Shift deviations are created to hold and record deviations between the generated resource shifts and any manual changes made to those resource shifts or breaks. The shift deviation will ensure that the deviation persists even when the resource schedule is re-generated. The changes made to a shift or break will directly be reflected in the resource's capacity. If the shift deviation is removed, the base shift is re-instated, and the corresponding capacity is updated. Note that changes made to a shift create a deviation for the shift, while changes made to a break create a deviation for both the break as well as for the shift. This is because a change to a break is considered to be a deviation to the shift compared to the source schedule. If the break deviation is removed, both the shift and the break deviation are removed.
