About Register New Employee

New Employees can be registered using New Employment, Employees or Employee File.

New Employment

This is the standard way to enter new employees into the system. In New Employment you are guided through the registration of a new employee through a number of steps, depending on the configuration or template selected.

To register new employee, you can indicate whether the new employee should be created with a new person ID, an already existing person ID or whether employment should be created for a job candidate recruited through IFS/Recruitment.

Employee File

You will be navigated to New Employment when you select Employments/New Employee.

Employees

You will be able to enter several new employees at the same time. However, only with a limited set of information.   

Employee ID and Person ID Settings

When registering new employees, you can manually enter an employee ID or it can be automatically generated using the automatic series functionality. If you choose the automatic series functionality, the employee number will be generated based on the EMPLOYEEID property code which is connected to the company in the Company Details/Property section. The next employee number that should be generated is specified as the property value. Every time the value is automatically assigned as an employee number in the same company, the property value in the Company Details/Property section page will get updated with the next number in sequence.

If the company is not connected to the property EMPLOYEEID (Next Employee ID), the employee number is automatically generated based on the global series definition. This can be specified in Enterprise Identity Series.

To automate Person ID, a global number series for the person ID should be specified in the Enterprise Identity Series.

Prerequisites

In order to use New Employment functionality, there must be a configuration set up in New Employment Configuration. Position IDs must be defined in Graphical Position Structure and linked to the respective Organizations in Graphical Organization Structure.
