Add Nominees 

Explanation

Use this activity to add and manage Contractor Nominees for a Service Contractor. Contractor Nominees represent individuals who may perform work on behalf of the Service Contractor and who do not have full access to the system. This allows you to record and maintain basic contact details for contractor resources that can later be specified when creating allocations. 

Contractor Nominees can be created, edited, or deactivated from the Contractor Nominees section of the Service Contractor Resource tab. They are displayed separately from regular resources such as named persons, crews, and bucket resources. 

Each Contractor Nominee includes: 

Nominee ID (system-generated) 

• First Name 
• Last Name 
• Phone Number 
• Email Address 
• Status (Active/Inactive) 

Users can perform the following actions: 

• Create Nominee – Add a new Contractor Nominee with contact details. 
• Edit Nominee – Update existing Contractor Nominee information. 
• Activate/Deactivate Nominee – Change the status of an existing Contractor Nominee. 

In addition, you can bulk upload Contractor Nominees using the Upload Contractor Nominees button. This enables you to import multiple records at once by downloading a template, filling in nominee details, and uploading the completed file back. 

Contractor Coordinators working in the Contractor Portal can assign tasks to Nominees. This allows orders to be scheduled to a bucket resource and later distributed to individual Nominees. Once a task is allocated, a secure link can be sent via email or SMS to the Nominee for confirmation and execution. 

This functionality supports both centralized scheduling to contractor bucket resources and local assignment to specific individuals, ensuring clear visibility of allocation status in IFS Cloud.

Prerequisites

• A Service Contractor must be defined. 
• For bulk uploads, data must be entered into the standard Excel template before uploading.

System Effects

• A new Contractor Nominee is created and linked to the Service Contractor. 
• Active/Inactive status controls whether a nominee is available for assignments. 
• The Contractor Nominees list is updated in the Service Contractor Resource tab.
