Go Through Employee Assistant Steps
Explanation
Use this activity to configure the steps offered by the assistant. Due to the high customizability of the
assistant, you can see the steps in different order, with missing fields, with fields already filled in, or with
whole steps missing.
Note: Since sections within a step can be made mandatory, some optional requirements might be mandatory if
the assistant configuration set them as such.
The Job Assignments section at the New Employment Assistant
This activity introduces a section called Job Assignments. Using this section you can select
and assign jobs from a drop down as per the requirement in the Job Assignments section.
To assign a job you will have to:
- Select a Job from a drop down.
- Select a Job Grade that aligns with the selected job.
- Adjust the Primary toggle to indicate if the job is a primary or secondary and set the
Validity period.
Primary and Secondary Job Assignments:
The Primary status indicates if a job assigned to a person, is their primary job.
- A person can have multiple primary jobs across different companies.
- Within a single company, only one job record can be marked as primary at a time. Any other jobs within the
same company will be considered as secondary.
Linking a Company to a Global Job Record:
By default, a company is linked to the global job record based on the company selection done during the
Employee step in the assistant. Based on the company selected, the job assignment will be by
default linked or associated with the selected company.
The functionality of the Job Assignments section will change depending on the
Employment option selected during the first step of the assistant. This selection determines how
job assignments are retrieved and how job-related information is displayed in the application.
New Person Employment:
- Assign jobs to a completely new person, the Job Assignments section will appear blank, since
there is no previous job information to be retrieved and displayed.
Existing Person Employment:
- For an Existing Person Employment, the Job Assignments section will
retrieve and display the current job that is already assigned to the selected person.
Former Employee Reemployment
- For Former Employee Reemployment, the Job Assignments section will appear
blank, since previous job information can be obsolete, allowing you to assign a new job.
Selected Applicant Employment:
- For Selected Applicant Employment, the Job Assignments section will
retrieve and display the job offered during recruitment.
Job Assignments Configuration:
You can choose whether to enable or disable the Job Assignments section. This can be managed
through the Job Assignments Configuration, which is found under the Employment
section at the New Employment Configuration.
- Enable - This will enable the Job Assignments section and make it visible in the New
Employment Assistant.
- Disable - This will hide the Job Assignments section at the New Employment
Assistant.
Prerequisites
In order to perform this activity:
- Jobs must be defined in the application.(Mandatory)
- A company has to be registered in the system. (Mandatory)
- Users have to be registered in the system. (Optional)
- Employee Agreements have to be registered in the system. (Optional)
- Employee statuses have to be registered in the system. (Optional)
- Probation Setup with Probation Statuses have to be defined in the system. (Optional)
- Employee categories have to be registered in the system. (Optional)
- Organization structure has to be created in the system. (Mandatory)
- Position structure has to be registered in the system. (Optional)
- Assignment types have to be registered in the system. (Optional)
- 'Access' type access roles have to be defined in the system. (Mandatory)

Access Setup Configuration page)
