Upload External Data
Explanation
The Upload External Data for KPI activity is used to upload external data for a KPI data source related to
selected KPIs. External Data could be uploaded in two ways:
- If the upload action is initiated at the plan level, all KPIs in the plan will be considered, but it is also
possible to upload data for specific KPIs. After the data is uploaded, ensure that it's included in
calculations by verifying the status of the data upload on the View Data Upload page.
- Uploading data through an Excel template allows external information to be added to the sustainability data
page. Each row must include the values for Company, Calculation ID, Period from Date, and Period to Date,
along with an Action: Insert, Override, or Delete.
- Insert - Add new records. If an existing record is inserted again, the system will display an
error.
- Override – this action should be used to update an existing record.
- Delete - Remove records (Lines should not be deleted directly from Excel).
Note that: When IFS Cloud data is overridden with an external file, the corresponding record in
the database is removed and replaced with the new data. Any subsequent updates made directly in IFS Cloud may then
override this external data without visibility. As the database stores monthly aggregated information, identifying
specific transaction-level details can be challenging. This behavior should be clearly communicated to data
providers and authorizers for transparency.
Prerequisites
- KPI Requirements: The KPI must be Quantitative, System-defined, and Automated KPI.
- Workload job related to KPI External Data Workload should be properly configured.
- The default document class for the relevant logical units (KPIExternalDataConn, and KPIExternalData) should
be set under the Document Defaults per Object window.
- The logged in User should be connected to a Person registered in the application.
System Effects
As a result of this activity:
- A document is created in Document Management, referencing the unique identification of the upload for the KPI
data source.
- Existing Document Management features will be applicable to this upload external data file. (ex: Document
Classification, Revision Control, Access Control etc.)
