Create Maintenance Contractor Orders on Bundle Tasks
Explanation
Use this activity to create and manage Maintenance Contractor Orders when a Bundle Task is subcontracted to a
Maintenance Contractor. A Maintenance Bundle Contractor Order (MBCO) is created for the Bundle Task, and individual
Maintenance Contractor Orders are automatically created for each included Work Task. This ensures that all tasks
within the bundle are correctly tracked, executed, and connected to the same Maintenance Contractor.
The Maintenance Bundle Contractor Order acts as the central object for execution, status management, and payment
handling. Technicians report transactions on the Maintenance Bundle Contractor Order, which then distributes
updates and payment information to the related Maintenance Contractor Orders.
Maintenance Bundle Contractor Order
- Created automatically when a Bundle Task is assigned to a Maintenance Contractor resource.
- Can also be created manually from the Maintenance Bundle Contractor Orders tab of a
Bundle Task by selecting a Maintenance Contractor.
- A Maintenance Agreement and Maintenance Agreement Line can be specified when applicable.
- Supports reporting of time, material, and expense transactions.
- Automatically links and references the Maintenance Contractor Orders for included Work Tasks.
Maintenance Contractor Orders for Work Tasks
- A separate Maintenance Contractor Order is created for each Work Task included in the bundle.
- All Work Task Maintenance Contractor Orders inherit the same Contractor ID as the Maintenance Bundle
Contractor Order.
- Each child Maintenance Contractor Order references its parent Maintenance Bundle Contractor Order for
traceability.
Payment Lines
- Fixed Price payment lines are created if fixed cost lines are defined on the Maintenance Agreement Line
linked to the Maintenance Contractor Order.
- For tasks without fixed prices, Maintenance Contractor Orders are created without initial payment lines.
Instead, payment lines are generated later, based on the reporting performed on the Maintenance Bundle Contractor
Order.
View Bundle Payment Lines
- A Payment Lines tab is available on the Bundle Task.
- The tab displays an aggregated list of all payment lines generated for the Work Tasks in the
bundle.
- From this tab, you can:
- Review all payment lines across tasks in one place.
- Select one or more payment lines.
- Create a Purchase Order directly from the selected lines.
- This view provides oversight of Maintenance Contractor costs at the bundle level and supports accurate
invoicing.
Status Handling
- Status changes on the Maintenance Bundle Contractor Order automatically update all related Maintenance
Contractor Orders for Work Tasks.
- Canceling a Maintenance Bundle Contractor Order automatically cancels all related Maintenance Contractor
Orders.
- Rejecting a Maintenance Bundle Contractor Order automatically rejects all related Maintenance Contractor
Orders and cancels their payment lines.
Visibility Control
- Maintenance Contractor Orders created for Work Tasks in a bundle do not appear in the Maintenance
Contractor Coordinator Portal or Mobile app.
Prerequisites
- A Bundle Task must exist.
- A Maintenance Contractor must be defined.
System Effects
- A Maintenance Bundle Contractor Order is created for the Bundle Task.
- Maintenance Contractor Orders are created for all Work Tasks within the bundle.
- Contractor ID is applied consistently across all Maintenance Contractor Orders.
- Payment lines are generated for fixed price tasks and aggregated at the bundle level.
- A Payment Lines tab on the Bundle Task provides visibility across all Work Task
payment lines and enables Purchase Order creation.
- Status changes at the bundle level automatically update all related Maintenance Contractor Orders.
- Maintenance Contractor Orders for Work Tasks in a bundle are hidden from the Maintenance Contractor
Coordinator Portal and Mobile app.
- The Bundle Task is flagged as subcontracted when linked to a Maintenance Bundle Contractor Order.
