Export Excel File for Later Import¶
This activity is used to export an executed Business Reporter report as an ordinary Excel file, i.e. a file with no attached Business Reporter functionality, with the purpose of being able to import the content in the report at a later occasion.
The functionality supports writeback collaboration, i.e. a possibility to send a report to another party that can edit the figures before sending it back to the original sender. The scenario can be as follows;
- Person A is executing a Business Reporter report configured to support writeback, e.g. related to Business Planning on an aggregated level or Budget Template Transaction.
- Person A wants Person B to fill in the figures to be written back. Person B does not have Business Reporter installed on his/her computer.
- Person A now exports the BR report.
- First, an ordinary Excel report without the Business Reporter is created.
- Secondly, the BR report (the target report) itself is stored in the BR Export Archive.
- Person A sends the report to Person B who opens the report in Excel and adds necessary information (e.g. planning, and budgeting figures).
- When ready, Person B sends the report back to Person A.
- Person A opens Business Reporter and performs Import From Excel Report, meaning that the sent report will be used as a source to get information to be imported to the target report that is stored in the report archive. When the import is done, Person A can perform a writeback to the IFS Cloud database.
To export a pure Excel report from a target BR report:
Execute the BR report you want to export.
In the IFS Business Reporter ribbon click
Export to open the Export to Excel Report dialog box.
Select the Export to Excel Report for Later Import option in the header of the dialog box.
Select either Save on Disk, Save on Disk and Email, or Email in the Export Excel Report Without BR tab as required.
If either Save on Disk or Save on Disk and Email was selected, click Browse to specify the location on the disk where to save the report.
Change the default File Name if required.
Note
In the Save BR Report tab the Save BR Report to Archive option will be enabled (mandatory). This means that the target report will always be saved in the Business Reporter export archive.
- If it is required to save the executed BR report to disk, select the Save BR Report to Disk option and enter the location on disk where the report should be saved in the File Path field. You can browse for the relevant location.
- Modify the report name suggested in the Report Name field if required and click Export.
Prerequisites¶
To perform this activity:
- An executed Business Reporter report must exist
- The original/target Business Reporter report should have one or more writeback-enabled cells (since data can be imported only for writeback-enabled cells).
System Effects¶
As a result of this activity, the following system effects would take place depending on the method of export selected.
