Broadcast Messages

Broadcast Messages function as an integrated communication tool within the application, allowing system administrators to deliver real-time alerts and announcements to users without interrupting their workflow. These messages are used to convey essential information such as planned maintenance, system updates, operational changes, organizational announcements, upcoming events, or critical warnings requiring immediate attention.

By displaying these messages directly within the application interface, users are kept continuously informed of important developments that may impact system performance or user activity. The high-visibility placement ensures maximum awareness, helping users stay prepared and aligned with ongoing or upcoming changes.

There are two primary types of broadcast messages:

  1. System Generated Broadcast Messages
  2. Automatically generated by the system during specific events related to application updates, maintenance or any other system related information.
  3. System-generated broadcast messages can have their status toggled between Active and Inactive by administrative users, depending on operational needs. However, deletion of these messages is strictly permitted only if an expiration date has been defined.

​ (Note : Use the Inactive option cautiously to avoid suppressing important system alerts.)

  1. Admin Generated Broadcast Messages
  2. Manually created by an application administrator where system administrators can access a dedicated page within the application to create and manage broadcast messages.
  3. Administrator-created broadcast messages that have reached their expiration date can be permanently deleted. To ensure that deletions are intentional, the system prompts administrators with a confirmation dialog. Administrators must explicitly click Continue in the prompt to proceed with the deletion.

Creating a Broadcast Message (Admin Broadcast Message)

  • Navigate to Solution Manager > Broadcast Messages in the IFS Cloud interface to access the Broadcast Message dashboard.

  • Click the Add New button to open the Create New Broadcast Message form.

  • Fill in all the required fields in the Create New Broadcast Message form to define the message content, type, duration, and relevant links.

Warning: Use for cautionary messages that require user attention, such as potential service disruptions or critical notices.

Activate / Deactivate System Generated Broadcast Messages

Administrative users have the ability to control the visibility of System-Generated Broadcast Messages by toggling their status between Active and Inactive, depending on operational requirements.

Steps to Update Message Status:

  1. Navigate to the Broadcast Messages page within the application.
  2. Locate and select the system-generated message that you wish to activate or deactivate.
  3. Once selected, the appropriate Activate or Deactivate button will appear in the action toolbar, as illustrated in the image below.
  4. Click the button to toggle the visibility status of the message.
