Testing and Administrating a Large Volume Media Archive

This document describes how to ensure that an archive has been successfully set up as well as other related administrative tasks.

Testing an Archive

Once a Large Volume Media Archive has been configures you need to test whether the archive has been set up successfully. To do so follow the steps below:

  1. Login to IFS Applications. The user should have grants to the MEDIA_LIBRARY_ARCHIVE permission set.
  2. Open the Media Archives window and populate.
  3. Select an archive record, right-click and click Test Archive.
  4. If the archive has been set up correctly the message Archive has been accesses successfully will be displayed.
     

Other Administrative Tasks

Switching between Archives

There may come an instance where you may have to switch an archive. In order to make a switch, you need to have at least one active archive record. To switch between archives, follow the steps below:

  1. Create a new container in Azure Blob Storage.
  2. Login to IFS Applications. The user should have grants to the MEDIA_LIBRARY_ARCHIVE permission set.
  3. Open the Media Archives window and create a new record.
  4. Enter all the mandatory information in the window including the new container name and save.
  5. Test the new archive.

Note: Make sure to ask a Consultant before performing steps 6 - 9.

  1. Set the newly created archive to Active.
  2. Create a new Image media item. Note the Media Archive field is empty.
  3. Archive the image by executing the Archiving job.
  4. Search for the media item created in step 7 and make sure that the Media Archive field is updated with the archive number in step 4.

 

Deleting an Archive Record

  1. Login to IFS Applications. The user should have grants to the MEDIA_LIBRARY_ARCHIVE permission set.
  2. Execute the Media Archive job.
  3. Open the Media Archives window and populate.
  4. Select a record and delete. the record will be deleted if the number of images in the archive is zero, if not the following message will be displayed: Archive <archive_no> containst <number_of_items> archived media items - delete is not allowed.
