Correct Errors
Explanation
This activity is used to correct errors generated when validating the
loaded asset data.
Errors may occur, for example if:
- The template structure position is not active.
- The part revision or template part revision in the import file does
not exist as an engineering part revision in IFS Cloud.
- The manufacturer information in the import file does not exist in IFS
Cloud for the serial part.
- Part ownership is invalid for new serials being created from the
import.
- The part owner does not exist in IFS Cloud or is not provided for customer-owned
or supplier-loaned serials created from the import.
- The serial being imported is renamed, scrapped or locked.
- The serial is in inventory (the serial cannot be in inventory and installed
at the same time).
- The part is access-controlled, and the logged-in user does not have
permission to create serials for it.
Errors must be corrected before the serial structure can be created or updated.
Corrections may be made externally or directly within IFS Cloud. After
making corrections, the Validate Asset command can
be rerun until there are no errors, at which point the overall
status is set to Validation Completed. If
errors were corrected externally, the updated CSV must be uploaded. Note that
uploading a CSV file for the same asset replaces the existing import and restarts
the process.
In addition to errors, you may also encounter warnings when validating the
data. Warnings typically indicate conditions that can be acknowledged without
blocking serial creation but may require review or corrective action.
Warnings may occur in the following situations:
- Manufacturer information issues.
- The manufacturer information (manufacturer number and
manufacturer’s part number) for an existing serial does not match
the information in the import file. The import will not
update manufacturer information.
- For new serials, if only the manufacturer number is provided in
the import file, its preferred manufacturer’s part number will be used.
If neither the manufacturer number nor the manufacturer’s part number
is provided, the preferred manufacturer and preferred manufacturer’s
part number will be used. In both cases, the preferred values are taken
from the corresponding engineering part revision, or if not available,
from the master part.
- Duplicate data issues.
- The vehicle ID for the serial does not match the one in the import
file. The vehicle ID can be corrected after import in the Manage
Serial Structure/Vehicle tab.
- Structure change related information.
- A part is already installed in the non-serialized structure position. When Process
Serial Structure is run, the part currently installed
will be removed and the part from the file will be installed if all
other validations are fulfulled.
- A serial is already installed in the given structure
position. When Process Serial Structure is
run, the serial currently installed in the position will be removed
and replaced with the serial from the file if all other validations
are fulfulled.
- A serial provided in the import file exists in a valid operational status, has
a current positon of In Facility or Issued (not
to an order), and is not installed in a structure. The
system will attempt to install it when running Process
Serial Structure.
- A serial provided in the import file exists and is
installed in the structure of a different parent than the
one specified in the file. When Process Serial Structure is
run, the serial will be removed from its current parent and installed
in the parent specified in the import data, if all other validations
are fulfilled.

Part from Import. Refer to the

activity for more information.
Prerequisites
- The Validate Asset command must have been
run for the asset data loaded into the Import Asset page.
System Effects
- In the Import Details tab, the
status of each part is updated to reflect the validation result, and
the overall status is set to Validation Completed.
- The serial structure can be created or updated by running the Process
Serial Structure command.
