Prepare Permits

When a work order has been created, you can continue by planning and preparing the permits on the work order. The preparations process varies slightly depending on what reason the work order was created in the first place i.e. if it was created via a repair work order, a work task template, a PM generated work order, or if you are preparing the work on a quotation and so on.

It is possible to enter one or more permits per work order. You can connect any number of permit attributes on to each permit type. A common permit type is safety regulations. It may describe certain actions that must be performed manually before a task can be done, or certain equipments that is needed for performing the task. Permits can also be work certificates. Some tasks require a work certificate that specifies a time for the task to be completed, and that needs to be handed over to a manager to prove that the work is finished. Here you can create new permits, prepare new ones, and connect attributes on to a permit.

When preparing a permit you can specify locations and positions for which the permit is intended to be released. You can also enter permit attribute values and notes. Attributes connected to the permit type are automatically added to the permit when it is created. Additional attributes can be added, or existing attributes removed, while the permit is in the New or UnderPreparation status.

When you create a new permit for a work order, it receives a unique identity. If the work order is generated from a PM action, and the PM action work lists had permit types and isolation templates connected, the permits and isolation orders are created at generation and connected to the relevant work tasks. Each permit receives a unique ID number. The same applies when a work task template with connected permit types and isolation templates is connected to a work order.

You can also create a permit from an approved permit template using New from Template on the work order or work task. Optionally, filter the template list with Applicable In so that only templates that match the work type and/or object type of the work context are shown. For more information, see Create Permit from Permit Template.

A released permit can later be suspended and resumed. Work tasks connected to a suspended permit cannot be started.

When the permit type allows child permits, you can also connect child permits under a parent during preparation and execution. For more information, see Connect Child Permits.

The prepare work order is used in IFS/Maintenance, and in IFS Cloud for Service Management.

The validity period of a permit and the planned dates of its connected work tasks and isolation orders can be reviewed together on a timeline, including conflicting isolation orders and child permits. For more information, see Permit Planning.
