Auto Reservation of Tools / KITs / Parts
Explanation
This activity automatically reserves available stock against aviation maintenance material lines so technicians
do not have to reserve tools, KITs, and parts by hand. It is a general process of 7.46.7.1 Transfer to
Production. See Line Maintenance Planning, Commit Work Package, and Publish Work
Package.
Tools, KITs, and parts use the same material-line reservation flow. The system distinguishes the item by
inventory class and part use, not by a separate reservation engine.

When auto reservation runs
Auto reservation can run in two ways.
When a part request arrives from CAMO
This is the typical path for tools, KITs, and parts requested on a task:
- CAMO sends a part request (create or update).
- IFS Cloud creates the work-task material requisition and line or lines.
- Alternate parts from the part group are stored as interchangeable parts on the line.
- After all lines in that message are created, auto reservation runs for each new line.
Serialized, KIT, assembly, and tracked items are stored with their material-request quantity. Batch items use
the requested quantity. After that, they all go through the same auto-reservation procedure.
Scheduled database task
The Execute Auto Reservation of Aviation Maintenance Material Lines database task is the
catch-up and bulk path. The SITE parameter identifies the site. The default value is
%. In practice, schedule the task per site.
The job scans open aviation material lines on that site where:
- Planned quantity is greater than zero
- The line is not fully reserved or issued
- The required date is still in the future
Each eligible line uses the same flags and reservation-window checks as the inbound part-request path. Use the
scheduled task for lines added later, or for lines that were outside the window when they were created and later
enter the window.
Reservation windows
A line is in the reservation window when the required date is still in the future, and the number of days from
the site date to the required date is within the window.

Part, tool, and KIT flags
Set these flags on the Aviation Part Details or Aviation Tool Details page.
Auto reservation runs only when both flags are cleared.

How each eligible line is processed
Lines are processed by required date, soonest first.
- Availability. Available quantity is calculated from on-hand, already reserved, in-transit,
and projected supply and demand. Standard or project inventory is used depending on the line.
- If the primary part is short. Interchangeable (alternate) parts defined on the master part
are checked. Alternate material lines are created for the quantity each alternate can cover. If demand is still
short, remote sourcing is tried (other sites, remote warehouses, inter-company, and suppliers). If a remote
source can deliver by the required date, a shipment order is created from the supply site to the demand
site.
- Reserve stock. The parent material line is reserved through the standard work-task material
reservation. Any interchangeable lines created in the previous step are reserved the same way. If stock is
insufficient, the line is partially reserved and a remaining-quantity information message is raised. Auto
reservation does not issue material.
When auto reservation is skipped
IFS Cloud does not reserve the line if any of the following is true:
- Prevent Auto-Reservation is selected
- Controlled Reservation is selected
- The line is outside the line or heavy reservation window
If the line is linked to a CAMO part request, the request is published with status PROPEN so it
stays open for manual reservation. See Find and Reserve Inventory in
Maintenix.
Prerequisites
- The work package must have been created, scheduled, and have a defined workscope. See Create New Work Package, Schedule Work Package, and Generate
Workscope.
- Parts, KITs, and tools must be defined. Prevent Auto-Reservation and Controlled
Reservation must be cleared on the aviation part or tool definition for items that should be
auto-reserved.
- The line and heavy auto-reservation windows must be set to the planning horizon you want.
- Stock, an interchangeable part, or a remote source that can deliver by the required date must exist at the
demand site.
- For catch-up and bulk reservation, the Execute Auto Reservation of Aviation Maintenance Material
Lines database task must be scheduled for the site.
Procedure
This activity runs automatically. You set up flags, windows, and the optional scheduled task. You do not start
reservation from the work package.
Enable auto reservation for a tool, KIT, or part
- Open the Aviation Part Details or Aviation Tool Details page.
- Clear Prevent Auto-Reservation and Controlled Reservation.
- Set LINE_MAINTENANCE_AUTO_RESERVATION_WINDOW and
HEAVY_MAINTENANCE_AUTO_RESERVATION_WINDOW to the planning horizon you want.
- Confirm that stock, an interchangeable part, or a remote source exists at the demand site.
- Let CAMO part-request creation trigger reservation, or schedule the auto-reservation database task for the
site.
Force manual reservation
For high-value or controlled items, select Controlled Reservation or Prevent
Auto-Reservation on the aviation part or tool definition. The part request then stays open for manual
reservation.
Schedule the catch-up job
- Open the New Database Task Schedule assistant.
- In the Database Task field, select Execute Auto Reservation of Aviation Maintenance
Material Lines.
- Set the SITE parameter to the site to process.
- Set how often the database task should run in Set Schedule.
System Effects
- Eligible material lines are reserved against available stock. Auto reservation does not issue material.
- If the primary part is short, interchangeable material lines can be created and reserved. A shipment order
can be created when a remote source can deliver by the required date.
- If stock is insufficient, the line can be partially reserved. A remaining-quantity information message is
raised.
- If auto reservation is skipped, a linked CAMO part request remains open with status PROPEN
for manual handling.
- If you publish the work package from CAMO before auto reservation of parts is complete, installed part
information is not available in Line Maintenance Execution. Republish the work package after auto reservation
completes. See Publish Work Package.
- Uncommitting a work package that has not started removes the date and location from part requests and cancels
part reservations created automatically or manually. See Uncommit Work
Package.
