Inventory owners

Each inventory item in Maintenix has an owner who is responsible for the maintenance and operation of the item. Ownership, along with the financial class of the inventory and the ownership type determines what financial transactions are recorded during the life cycle of an item.

Ownership types

The ownership type affects financial transactions, but also impacts what you can do with the inventory. If you search for inventory by owner, you can filter the search results by ownership type.

Onwership type Description
LOCAL Inventory is locally owned when the owner of the item is associated with an organization in Maintenix. When inventory is locally owned, the ownership type is not displayed on the Inventory Details page. Financial transactions are recorded for locally owned inventory as a result of many events.
EXCHRCVD Inventory was received on an exchange order. The record created in Maintenix automatically has the EXCHRCVD type. The ownership changes from vendor to local after the item is inspected as serviceable and a return inventory is selected for the exchange order. The item can be issued only after the return inventory is selected.
EXCHRTRN Inventory was or will be returned to a vendor via an exchange order. When inventory is selected for return to a vendor on an exchange order, its ownership type changes automatically when the replacement inventory is received and inspected as serviceable. The record for the returned inventory is archived in Maintenix and you cannot change the owner. If the inventory is manually unarchived, Maintenix automatically changes the ownership type to OTHER. (The type is not changed to OTHER when inventory is automatically reinducted).
BORROW Vendor-owned serialized inventory is received on a borrow order, is installed, and the same item is later returned to its owner.
CSGNRCVD Vendor-owned inventory was received on a consignment order or a consignment exchange order.
CSGNRTRN Repairable inventory was returned to a vendor via a consignment exchange order.
OTHER Inventory type is none of the other types. Inventory with this type might be pooled or loaned.

How inventory is assigned an owner

If you create inventory manually, you can select the owner. Otherwise, when inventory is received and Maintenix creates a record for the item, the owner that's assigned depends on the default owner that's set in the database and on the type of order the item is received for.

Purchase orders: Inventory that you purchase becomes locally owned (has an ownership type of LOCAL) when it is received in Maintenix in RFI condition or after the receiving inspection when its condition changes to RFI. In the case of consignment and borrowed inventory, items are held locally, but are owned by a vendor. (In an organizational structure that includes service providers/MROs and operators, the owner of purchased inventory depends on the receipt organizations that are configured).

Exchange orders: You become the owner of newly received replacement parts after you've received and inspected an item as serviceable. When this inspection occurs, the ownership type of the inventory that's selected for return to the vendor automatically changes to EXCHRTRN and the vendor becomes the owner of the unserviceable part.
