Transfer tools to maintenance locations

Sometimes tools are not stored in the tool crib, but are placed for the long term in a maintenance location. To maintain accountability without displaying these tools on the Checked Out Tools tab, you can transfer tools and assign custody to a user in the maintenance location.

Clerks monitor the Checked Out Tools tab regularly so it's not optimal to display tools day after day when their return is not expected.

After you change the location and custody, the tool still appears in a tool search that you do to monitor for upcoming calibration tasks.

As an alternative to the following procedure if you want to check tools out long term and if you have set up department and location mapping, you can transfer the tool and configure the Checked Out Tools tab to display only tools that are controlled by the tool crib.

  1. On the Inventory Details page for a tool, click Create Transfer, enter a Transfer To location and click OK.
  2. On the Transfer Details page, click Complete Transfer and click OK.
  3. Optional: On the Transfer Details page, History tab, click Add Note.
  4. On the Inventory Details page, click Change Custody.
  5. On the Change Custody page, In the Received By field, enter the name of the user who is taking custody.
  6. Enter user password and click OK.
  7. View custody details on the Inventory Details page > Historical tab > Additional sub-tab.
