Ad hoc counting

An ad hoc count is an unscheduled inventory count based on a warehouse location.

To ensure accurate inventory records for parts in Maintenix, you can use a mobile device to record an ad hoc count for inventory stored in bins.

Starting the count

To record an ad hoc inventory count, you must first provide the code for the location that you want to count on the Ad Hoc Count page. For example, you can provide the location code for a serviceable store to see all its bin locations or you can provide the location code for a specific bin. To do so, you can scan the barcode for the location or manually enter the location code.

Ad hoc counts are listed on the Ad Hoc Count tab with the bin location code, the part number, the manufacturer, and the unit of measure.

If you have previously counted the inventory for a bin location, you can select the Counted in the past 24 hours filter option to see bins with inventory counted in the past 24 hours. Otherwise, the bins with inventory that you have already counted in the past 24 hours will not show in the list of bins.

Submitting the count

When you are finished counting, you can review the quantities for each part number on the Ad Hoc Count tab, and then submit the results. If there is no inventory to count in the bin, you can submit a count of 0.

After you submit the count, if there is a discrepancy between the physical count and the record in the system, the count results are listed on the Cycle Count Discrepancies tab for action.
